JOB PURPOSE:
To ensure all containers are booked and linked to vessels
Ensure all containers are cleared on time to meet the intended vessels
Assist with all aspects of Sea Exports
QUALIFICATIONS:
Valid, unendorsed driver’s license
Matriculation certificate essential
Industry related training compulsory
EXPERIENCE:
At least 3 year experience in the Motor Industry, with a thorough knowledge of export procedures and the documentation exporters must provide to their customers
Proven knowledge as regards systems integration
COMPETENCIES:
Knowledge:
Operational systems knowledge essential as relates to registration of shipments
Proven administrative skills
Knowledge and understanding of the APDP procedures / requirements would be and advantage
Proven knowledge as relates to sea exports
SKILLS:
Strong interpersonal skills
Ability to work to deadlines
Attention to detail
Well-developed IT Literacy skills and proficient in Microsoft Word, excel and Outlook
Fluency in written and spoken English
KEY RESPONSIBILITIES OF THIS ROLE:
Obtain shipping schedules from shipping lines
Receive booking instructions form Suppliers via CX
Make bookings with shipping line and arrange for container to be placed at supplier premises as per date advised by supplier
Advise client of the booking details booking reference, ETD, ETA, container number and seal number
Receive clearing instruction, commercial invoice and client file reference number and open file (at least 2 days before ETD)
Liaise with entry clerk for the clearance of the shipment
Send shipping instructions to shipping line for Bills of Lading
Once vessel has sailed obtain Bill of Lading from the Shipping Line
Courier original bills, certificates of origin and any other documents required to destination country(Consignee)
Send full set of export documents to APDP team in Pretoria
Follow up daily with Administration Controller that invoicing is done on time
Regular tracking of Containers
Send Weekly tracking report to client
Attend to queries from client and service providers
MAIN ACTIVITIES OF THIS ROLE:
Booking of Containers
Tracking of shipments
Timeous update to client, shipping lines and importers
Monitoring of clearance and invoicing processes
FINANCIAL RESPONSIBILITY (IF APPLICABLE):
Check that invoices billed correctly before presenting to client
Follow up on payment of invoices by client
Correct execution of instructions to avoid unnecessary charge
PERFORMANCE INDICATIORS:
Ensure all Containers are booked some day of receipt of instruction form suppliers
All export shipments processed timeously
Assist export team on necessary
Effective communications as regards any discrepancies of delays
Good positive, strong client relationship.
