Key Performance Areas / Tasks:

HUMAN RESOURCE ACTIVITIES

Recruitment & Appointment

Liaise with Managers with regard to vacancies that need to be filled

Recruitment and on boarding, including advertising new positions, sourcing, screening, interviewing

and appointments

Complete employee take-on and termination documentation for payroll purposes

Arrange for pre-employment medical examination of new recruits.

Arrange for testing of new driver applicants by the Fleet Manager

Provide induction training for new employees on HR Policies and arrange for SHE Induction with the

SHE Control Officer

Generate employment contracts and job descriptions for new employees

Human Resources-General

Generate personnel files for new employees.

Update personnel records employee register on receipt of new information.

Assist with collecting employee information when requested

Maintain employee personnel files for all employees and retain records of terminated employees as

per legal requirements and Control of Records Procedure

Identify trends in records / stats and action accordingly

Assist with general administrative tasks such as copying, preparing training material files, laminating

Deliver documents & correspondence to external bodies when requested

Liaise with managers wrt performance management of subordinates and arrange for/conduct

probation assessments

Maintain records of such assessments and follow-up on outstanding actions where identified

Formalise a succession and knowledge management system

Implement and maintain Employee Relations.

Manage temporary employees and ensure termination of contracts at end of contract period

Generate monthly report and submit to Top and Senior Management on critical aspects of HR & IR

Management

Perform any other tasks within reason assigned by a member of management or the HR Facilitator

Medical Surveillance

Establish and maintain a medical surveillance program as per the requirements of the Occupational

Health and Safety Act in liaison with the SHE Control Officer and Occupational Health Service

Provider

Arrange for pre-employment and exit medicals where applicable

Arrange for periodic medicals in liaison with the SHE Control Officer based on the medical surveillance

program

Maintain records of medical examinations and ensure recommendations by the Occupational Health

Practitioner are complied with by the affected employee and/or the employer

SHEQ Facilitator

NBCRFI

Engage with NBCRFLI and employees who falls under the NBCRFI (Drivers)

Monthly leave submissions to NBCRFLI and forward remittance advices to payroll

Communicate notifications for changes received from the NBCRFLI to payroll

Employment Equity

Act as EE Manager for the Company and ensure full compliance with requirements including plans,

reporting, training, AA measures to achieve objectives

Establish and maintain an EE Committee (Combined with Skills Development)

Generate annual EE Reports and submit online after required consultation with the EE Committee and approval by the MD

Implement EE Plan as per the requirements of the EE Act as Amended

Arrange regular meetings with the EE Committee as part of monitor compliance with the EE Plan

Arrange EE Committee meetings as necessary to review recruitment needs, review of policies etc.

Assist the MD of with EE Compliance

Training & Development

Act as Skills Development Facilitator for the Company and ensure compliance with SD Act

Establish and maintain a Skills Development Committee (Combined with EE Committee)

Arrange for regular skills reviews by all department managers and update skills matrices

Liaise with Department Managers on skills shortages and employees not fully competent yet and

identify training needs

Maintain a training register reflecting all training completed and planned

Issue status reports to managers where training is outstanding

Ensure Departmental Managers train employees on departmental procedures and work instructions as

soon as possible after employment

Ensure training effectiveness assessments are conducted and skills matrices updated

Develop annual Work Place Skills Plans & Actual Training Reports for the Company and

Company Logistics in accordance  and submit online

Train drivers on driver’s manual

Human Resources Policies

Implement and maintain Human Resources Policies based on labour legislation and Company

requirements

Train employees on HR Policies & Procedures as well as changes to it

Assess compliance with HR Policies & Procedures and report deviations to top management

BBBEE

Liaise with the BEE Verification Company on an annual basis and arrange for BEE audits for INV &
ICL before expiry of existing certificates

Compile file with the required information as per the BEE Verification Agent Requirements
Act as Company Representative during the BEE Audit

Company Hygiene

Ensure all hygiene facilities are maintained by cleaners as required
Report problems with hygiene facilities to plant engineering manager

SUPERVISION OF CLEANERS

Performance management of personnel in terms of company policies and procedures
Identify training and development needs for personnel
Ensure sufficient Cleaning resources are available at all times
Monitor efficiency of work force and ensure effective utilisation of work hours

SAFETY, HEALTH, ENVIRONMENT & QUALITY

Ensure requirements of the SHEQ system as applicable to your job are implemented and adhered to
Report any incidents you are involved in or witness, in accordance with the incident reporting
procedure
Ensure that the certification of drivers for transporting dangerous goods and are adhered to at all times
Fulfil SHE related tasks based on specific appointments by the SHE Control Officer
Monitor OHS Compliance including committee meetings, training, reporting, and policies. Liaise with SHE
Control Officer where areas of non-compliance have been observed
Ensure requirements of the Quality Management System are adhered to
Report all quality related incidents that occur in your department

Grade 12
Degree in Human Resources or Industrial Psychology
Minimum Work Experience Required:
5 years’ experience in a human resource management function operating at senior management level
Knowledge of Labour legislation
Computer literate
General administrative skills – filing, data capturing
Communication skills
Able to deal with Labour Relations Issues
