As a Production Coordinator Intern, you will be embedded at the heart of our end-to-end production process — from the moment a campaign is confirmed to the second our Proof of Flighting (PoF) report lands in a client’s inbox. You will work alongside experienced production professionals, gaining hands-on exposure to large-format printing, substrate specifications, flighting crew coordination, digital OOH (DOOH) content management, and South African municipal compliance.

This is not a passive, observe-from-the-sidelines role. You will be actively coordinating, communicating, problem-solving, and delivering — all under real campaign deadlines. If attention to detail is your superpower and you refuse to let anything slip through the cracks, we want to hear from you

Key Responsibilities

1. End-to-End Production Coordination

  • Assist in managing the full production lifecycle for billboards (static and digital), street furniture (bus shelters, benches, kiosks), and DOOH screens.
  • Track campaign timelines and flag potential delays proactively to the Production Manager.
  • Maintain and update production schedules using project management platforms, ensuring all stakeholders have real-time visibility.
  • Liaise with internal account teams to ensure artwork briefs, deadlines, and campaign specifications are accurately captured before production commences.

2. Large-Format Print Management

  • Assist in reviewing artwork files for large-format print readiness, including resolution checks, bleed, and colour profile compliance (CMYK).
  • Develop a working understanding of substrate materials and their applications:

–     PVC (Polyvinyl Chloride) — standard banners and billboard skins.

–     Vinyl — adhesive applications for bus shelters, kiosks, and vehicle wraps.

–     Mesh — perforated material for high-wind or semi-transparent billboard applications.

  • Coordinate print job briefs with approved print vendors, tracking production status to ensure on-time delivery to installation sites.
  • Conduct quality checks on printed materials against approved artwork before dispatch.

3. Flighting Crew & Logistics Coordination

  • Schedule and confirm installation bookings with flighting crews and third-party logistics providers across multiple regions.
  • Prepare detailed installation briefs including site addresses, GPS coordinates, panel reference numbers, and installation specifications.
  • Monitor live flighting progress and maintain constant communication with crews to resolve site-level challenges in real time.
  • Coordinate the collection and delivery of printed materials to ensure substrates arrive at sites ahead of scheduled installation windows.
  • Track and report on flighting completion status across all active campaigns simultaneously.

4. Proof of Flighting (PoF) Reporting

  • Collect geo-tagged photographic evidence from flighting crews upon completion of each installation.
  • Compile, quality-check, and format professional PoF reports for client presentation — ensuring images are correctly labelled by site reference, panel number, date, and location.
  • Distribute finalised PoF reports to account managers within agreed client SLA timeframes.
  • Maintain an organised digital archive of all PoF documentation by campaign and client.
  • Follow up with crews to close any outstanding PoF submissions before campaign reporting deadlines.

5. DOOH Content & Screen Management

  • Assist with the uploading and scheduling of digital creative content onto DOOH content management systems (CMS).
  • Perform basic quality checks to confirm digital ads are displaying correctly on assigned screens and playlists.
  • Flag and escalate screen faults, content errors, or scheduling conflicts to the technical team timeously.
  • Maintain accurate records of live DOOH campaigns, screen locations, and scheduled content slots.

6. Municipal By-Law & Compliance Administration

  • Develop a working knowledge of South African municipal by-laws governing outdoor advertising, including those enforced by:

–     City of Johannesburg Metropolitan Municipality.

–     City of Cape Town.

–     eThekwini Municipality (Durban).

–     Tshwane Metropolitan Municipality.

  • Assist in tracking permit expiry dates, renewal timelines, and compliance documentation for all outdoor advertising structures.
  • Support the operations team in ensuring all installations are conducted in adherence with approved site permits and municipal requirements.
  • Flag any non-compliant structures or expired permits to the Production Manager for immediate remedial action.

7. Administrative & Reporting Support

  • Maintain comprehensive production trackers, vendor databases, and campaign status logs.
  • Assist in preparing weekly production status reports for internal management review.
  • Process purchase orders and maintain records of production-related expenditure within approved budgets.
  • Support the team with ad hoc administrative tasks as required to keep production operations running smoothly.

Minimum Requirements

Qualifications

  • National Diploma or Bachelor’s Degree in Marketing, Advertising, Media Studies, Graphic Design, Project Management, or a related field.
  • Candidates currently completing their final year of study and seeking WIL (Work Integrated Learning) placement will be considered.

Technical Knowledge & Skills

  • Project Management Tools: Proficiency in one or more platforms such as Asana, Monday.com, Trello, or Microsoft Project. Ability to learn new systems quickly.
  • Adobe Creative Suite: Basic working knowledge of Adobe Acrobat (PDF preflight and review), Photoshop (image resolution and colour mode checks), and Illustrator (reviewing vector artwork) — you do not need to be a designer, but you must be able to read and assess production artwork.
  • Microsoft Office Suite: Intermediate proficiency in Excel (trackers, pivot tables), Word (report formatting), and PowerPoint (client-facing presentations).
  • Google Workspace: Comfortable with Google Sheets, Drive, and Gmail for day-to-day collaboration.
  • DOOH CMS: Familiarity with digital content management systems is advantageous; full training will be provided.

Industry Knowledge

  • Basic understanding of the OOH advertising value chain, including media owners, agencies, and suppliers.
  • Awareness of outdoor advertising formats: billboards (static, backlit, LED), street furniture, transit media, and digital OOH screens.
  • Familiarity with large-format printing processes and substrate materials (PVC, mesh, vinyl) is a strong advantage.
  • Awareness of South African municipal by-laws pertaining to outdoor signage is advantageous; willingness to study and apply this knowledge is essential.
