Job Purpose:

  • To coordinate logistics operations and ensure the efficient and controlled administration of imports and exports, while providing timely and accurate feedback to customers and stakeholders on shipment status and delivery.

 

Roles & Responsibilities

  • Coordinate inbound and outbound logistics to ensure on-time deliveries. 
  • Plan and manage shipments with local and international freight forwarders. 
  • Track and monitor shipments, providing regular status updates and reporting (e.g. shipping reports) to stakeholders and management. 
  • Timeous follow-up on outstanding Purchase Orders on factories. 
  • Provide timely feedback to customers and internal stakeholders on shipment status, delays, and delivery performance. 
  • Process and manage logistics transactions on Infor LN (ERP), including releasing shipments and completing outbounds and processing Purchase Orders. 
  • Prepare, verify, and manage all shipping documentation (invoices, packing lists, PODs, BOLs, CIPL, etc.) and ensure compliance with import/export and customs requirements. • Maintain accurate and organized record keeping (SharePoint), including PODs, processed outbounds, and all related shipping documentation. 
  • Liaise with suppliers, warehouses, transport providers, and internal teams (procurement, production, sales) to resolve delivery issues and align supply with demand. 
  • Facilitate inventory movement and support stock control processes. 
  • Expedite urgent orders and manage delivery priorities. 
  • Track logistics costs and identify opportunities for cost savings and process improvements. 
  • Monitor performance, record delays, and support continuous improvement initiatives within the supply chain. 
  • Submit signed PODs to finance for Invoice and payment processing. 
  • Ensure compliance with all safety regulations and company policies in logistics, transport, and warehouse operations, actively promoting safe handling and a safe working environment. 
  • Perform all other ad-hoc duties as required by management.

Qualifications & experience:

  • 3 years Logistics Management diploma or similar post graduate diploma / degree. 
  • 3-5 years of experience in logistics within a similar Industry.

Knowledge:

  • Excellent knowledge of all Logistics policies and procedures. 
  • Good knowledge of import and export operations and thorough understanding of procurement processes and corporate governance requirements. 
  • Detailed knowledge of import and export documentation procedures and requirements. 
  • Working knowledge of legal regulations and ISO requirements.  Knowledge of INCOTERMS and Customs procedure codes

 

Skills:

  • Excellent communication and negotiation skills. 
  • Proficiency in Microsoft Office and Logistics software. 
  • Good planning and organizational skills. 
  • Strong problem-solving skills. 
  • LN Infor or similar ERP systems knowledge would be beneficial.
