Duties
  • Reception - Answering the switch board and directing the calls to the correct person or department
  • Filing- Filing orders captured, customer profiles (company details, name account number)
  • Data Capture - Loading new clients onto SAP system, load customer account details on CRM.
  • Loading Quotes On System- loading customer quotations onto SAP, these queries came through via email (used Gmail) and take calls from customer that wanted telephonic quotes.
  • Load Orders On System- Load orders into SAP when the quote is accepted from client, other customers had recurring monthly orders for certain raw materials (chemicals)
  • Track Orders/Deliveries - Once order has been captured onto the SAP system I would then inform customer on the lead time if stock came from the manufacturer in Germany we would advise customer if local stock. I will then stay in touch with the courier to keep track of where the parcel is until delivered.
  • Propose Raw Materials / Chemicals (Explain Product)- we had internal training on all raw chemicals sold, so when a customer called and asked for Hydrochloride we had to search on system and give product specs e.g expiry dates batch numbers and if required send through Msds so that our clients could see if it’s the correct product.
  • Cold-Calling Of Pre-Payments (Cod) Customers For Payment Follow-Ups- I assisted the accounts department by calling clients for payments, when a POP received via email we would call the client to confirm payment and contact bank to see if it was paid and when.
  • Register New Customers On System- A E-commerce system was in place where all online existing had to be registered to use the online portal.
  • Visiting Outbound Clients At least Once Every 3 Months. - Shadowing sales rep on their visits.
  • Customers: Aspen, all Universities, Givuadon, NHLS, Sasol plants, Eskom
