Duties

Daily Tasks:

  • Sending of invoices, sending statements on month end and pod’s when the customer requests it.
  • Daily process and allocate of all payments on SAP.
  • Remove the payment made against the invoice on the Debtors Age on the google sheet drive.
  • Throughout the day check the orders on the credit stop request - 1 google sheets. VKM1.
  • Resolve customer queries and internal queries.

 

Following up with customers:

  • Overdue invoices.
  • Queries on their accounts
  • Payment date on the invoices(forecast)

 

Managing Orders:

  • Release orders that are valid. [related to credit stop]
  • Reviewing of the credit limits on all the customers that have exceeded the limit facility.
  • Applying for further cover with CGIC.
  • Credit Management.

 

Reporting: Weekly Reporting /Monthly Reporting:

  • Check that the Sales report and GL balance before AR month end is closed.
  • Send aging to Greece credit control team and sales team and management and debt source
  • The aging sent to debt source must be accompanied with the sales report - add back customer balances written off.
  • Prepare the DSO for Chief Accountant and communicate the collection made for the month.
  • Save and download the master data on the drive.
  • Prepare the ageing for google sheets.
  • Credit notes reporting, authorized by the Commercial Director.
  • Provide for bad debt,
  • Prepare the sales report.
  • Prepare Jim Roskell's commission,
  • Maintaining the Customer portals: Ariba, Coupa, Babcock and Sc net.
  • Upload the invoices and statements on these portals,
  • Prepare BS Recons and Resolve the GL AR accounts.
  • Weekly reporting with the commercial Director and Sales Team.
  • Manage the bad debt. The first step is by submitting a final letter to the customer and given them 10 days to pay/
  • Send the updates to Credalink.
  • Prepare the provision for bad debt journal. Day 2 after month end.

 

CGIC reporting and administration:

  • Manage credit limits and make sure the credit limits from cgic are equal to the credit limits on SAP.
  • Submit the declaration to cgic in collaboration with debt source.

 

Invoicing:

  • Invoice for Wispeco and other financial invoices.

 

Administration:

  • All changes on the master data must have supporting documents.
  • Inform the sales and projects team about all the changes that are happening in the accounts.
  • File all documents of the credit application.
  • Customers that have been approved by CGIC are to be opened on Sap System.
  • Save all relevant documents on the drive.
  • Standard Bank Fleet- Prepare and Reconcile the Standard bank fleet statement and journal. This journal is done before the project departments closes. 27th every month
  • Responsible for all admin and paperwork related to debtors’ function.
  • Insurance - Maintain all the insurance's of Calderys and make sure they are up to date.
  • Assist with Audit queries,

Wholesale : Credit Controller From 2022-11 To 2023-12
Duties
  • Following up on outstanding debt telephonically and by email to in order to reduce debtor days
  • Allocating payments in accordance with customer remittances
  • Liaising with the sales to resolve outstanding queries
  • Daily and month -end reporting and account reconciliations both balances brought forward
  • Investigating and resolving queries relating to non-payment of invoices
  • Working to strict monthly and annually collections targets


Accounts:

  • Reconciliations balanced monthly – both open item and brought forward
  • All Outstanding items attended to, (on a monthly basis)
  • Utilize paperwork as back up for what has been done
  • Overdue schedule discussed with management monthly
  • Ensure overdue are reduced

 

Follow up’s:
